Managing Employee Access

If you're on one of our Teams & Business or Education & Nonprofit plans, there's no need to manually send links or invites to your employees with paid seats. Once you've added someone to a Group, they can access any Circles in that Group—or any child Groups you've set up—just by tapping Join Group Circle in the app.

To help things run smoothly, here are a few tips we recommend:

1. Add PhotoCircle to your onboarding and offboarding checklist

Make sure new employees are assigned a seat on Day 1. That way, any photos or videos they add are automatically owned by your organization. When someone leaves, offboard them promptly to keep your content secure and free up their seat for someone new.

2. Set up Groups with your team and structure in mind

Groups help control access and keep everything organized. Each Group can include Users and/or Circles—and you can even create placeholder Groups to use later. Think about how your organization works:

3. Keep things tidy with Favorites, Search, and Inactivation

Employees can “inactivate” a Circle to remove it from their app home screen without deleting any content. It’s perfect for Circles they don’t need regular access to but may want to return to later.
